Qualifications

We are looking for an Administrative Assistant for our Middle School (MS) Office. The goal of the Middle School is to create a “meaningful middle” which prepares students to be self-advocates who know what it takes to find success in every facet of their school experience—academics, extracurricular activities and their relationships with peers and adults. Be an integral member of the MS Office by using your gifts and talents to support administrators and faculty in this pursuit. This opening is full-time for 10.5 months (August - mid-June). This opening is for the 2024-2025 school year.

General Responsibilities

  • Manage the daily schedule of the Middle School Administrative Team
  • Schedule appointments for parents, teachers, staff, admissions applicants, job applicants and Parent-Teacher Fellowship (PTF) members
  • Assist in answering calls for MS
  • Greet and assist individuals who have a meeting with the Head, Assistant Head(s), Counselor and/or Faculty Members
  • Assist with projects when the need arises
  • Set up and maintain general MS files (budget, curriculum, events, projects, etc.)
  • Assist with incoming and departing families
  • Manage MS Lost and Found items
  • Assist visitors on campus
  • Plan MS Mini School Night
  • Assist with 5th grade Orientation
  • Plan 8th grade Graduation ceremony
  • Assist in planning departmental head meetings and division meetings
  • Assist with coordinating substitute teachers
  • Assign lockers to students
  • Receive attendance phone calls and emails from MS parents
  • Communicate to MS teachers the attendance for the day
  • Call parents of unaccounted for students
  • Manage Sign In and Sign Out Sheets
  • Manage Tardy/Early Release/Late Arrival slips
  • Update Announcements daily
  • Greet visitors and manage Visitor Sign In
  • Answer MS phones
  • Assist MS Secretary with overflow when needed
  • Maintain Personal Day forms
  • Maintain and update student message board
  • Assist with preparation of MS budget
  • Demonstrate the fruits of the spirit (Gal. 5:22-23) in daily work, and interactions with colleagues and others

Required Education, Experience and Qualifications

  • BA or BS, with preference for background in either Business, English, or any major with a significant writing component (e.g., Journalism)
  • Prior experience working with Middle School-aged students and/or in an educational setting is preferred
  • Additional qualities include a strong orientation to job detail, ability to manage both short and long-term planning, and use of both diplomacy and discretion
  • Have a willing heart for service (Ephesians 6:7)
  • Agree with and support TCA’s Doctrinal, Biblical and Mission statements and Christian values

Physical, Mental and Environmental Requirements

  • Normal physical demands of administrative assistant duties (including, but not limited to standing, reaching, stooping, squatting down, kneeling, and occasional lifting)
  • Moving between buildings on campus
  • Able to work with constant interruptions
  • Hospitable attitude
