TCA is seeking a dedicated team member and Christ follower to serve as the Campus Operations Administrative Assistant. Campus Operations is responsible for the oversight of all campus and facility operations. This includes facilities, grounds, custodial services, food services, capital project implementation and project management. This is a 12-month position.
General Responsibilities
- Provides administrative and clerical support for the Director of Campus Operations and the department and assists with facilitating the operations of the Campus Operations office
- Point of contact for shipping and receiving and assist with campus shipping needs
- Responsible to schedule and greet vendors
- Assists with overseeing and management of tasks related to project completion
- Assists with project communication and documentation regarding status of projects
- Assist the Director of Campus Operations and staff with special projects and events
- Oversee and orchestrate the SchoolDude system institution-wide and provide training to campus staff
- Schedule HVAC campus-wide and evaluate temporary override adjustments
- Manage the water delivery service, pest control and athletic restroom needs through vendor
- Manage and route maintenance-related requests to appropriate support services
- Provide professional business communication, including email etiquette, low email response time, etc.
- Along with the office team, assist walk-up individuals to Campus Operations with their needs
- Assist with drafting policy documents, assemble Campus Operations contracts, Requests for Proposal, campus-wide communication and other written communication for the Campus Operations team as requested
- Manage Campus Operations contractor insurance certificates, ensuring all requirements are met and up-to-date
- Assist with Campus Operations Office filing and invoicing procedures
- Ensure office supplies for Campus Operations are in stock and readily available
- Keep Safety Data Sheet Book up-to-date and manage OSHA training logs and safety program materials
- Provide research expertise and assist with procurement as requested
- Assist with Campus Operations budget development and management for accurate use and documentation
- Be proficient in the operation of the postage system and perform/oversee PM, maintenance, repairs, and installation. Provide training to limited users
- Receive, sign and label packages from carrier companies (Fed Ex, UPS, etc.)
- Distribute U.S. Post Office mail to respective school offices and administration
- Apply all TCA business postage as needed
- Assist with the distribution of large shipments to the campus
- Assist with monitoring shipment arrivals as requested and provide updates to the recipient
- Demonstrate the fruits of the spirit (Gal. 5:22-23) in daily work, and interactions with colleagues and others
Required Education, Experience and Qualifications
- BA or BS preferred
- Strong clerical and administrative assistants skill required
- Prior experience working in an educational setting is preferred
- Experience working as an Administrative Assistant required
- Skilled at Microsoft Office (Word, Excel and Outlook)
- Experience with SchoolDude preferred
- Experience in customer service preferred
- Kind, pleasant and effective communicator
- Ability to manage both short and long-term planning
- Organized and gifted at attention to detail
- Flexible and willing to learn new areas
- Willing to take initiative and work independently
- Have a willing heart for service (Ephesians 6:7)
- Agree with and support TCA's Doctrinal, Biblical and Mission statements and Christian values
Physical, Mental and Environmental Requirements
- Fast-paced office environment
- Work area is in the Shop
- Some early morning and evenings may be required
- Ability to lift 40 lbs.
