Responsibilities and Qualifications

We are looking for someone to provide administrative support to our Upper School Guidance Office. Our College Guidance Office forms a partnership with students and parents and strives to provide support services during this period of tremendous growth and change in a young person’s life. The Guidance Office is there to discuss personal and academic goals with students, to better assist students in devising a plan of action that may include course selection, career exploration, enrichment opportunities, and college selection.

General Responsibilities

  • Schedule appointments for College Counselors
  • Submit transcripts and teacher recommendation letters to colleges for seniors
  • Submit SchoolDude requests for all College Guidance Office related events
  • Keep the College Guidance Resource website page up-to-date
  • Submit College Guidance Office information for EWeekly each week
  • Uploading documents into Naviance for students
  • Update documents for students use (ex. Tutoring List)
  • Assist students with AP testing registration process
  • Prepare and assist with all curriculum meetings, College Days, evening planning meetings
  • Liaison with Addison Rotary Club for Student of the Month
  • Responsible for filing for College Guidance Office
  • Distribute scholarship information to students
  • Assist with National Honor Society membership
  • Sub for Attendance Secretary in the afternoons, every third week
  • Greet visitors and manage visitor sign-in
  • Answer Upper School phones when needed 

Required Education, Experience and Qualifications 

  • BA or BS required, with preference for background in either Business, English, or any major with a significant writing component 
  • Prior experience working with High School-aged students and/or in an educational setting is preferred
  • Additional qualities include a strong orientation to detail, ability to manage both short and long term planning, and use of both diplomacy and discretion when dealing with people

Physical, Mental and Environmental Requirements

  • Normal physical demands of administrative assistant duties (including, but not limited to standing, reaching, stooping, squatting down, kneeling, and occasional lifting
  • Able to work with constant interruptions
  • Hospitable Attitude

Hours:   Full-Time - 37.5 hours per week for 10.5 months
